Reception/Administrative Assistant FT
We are currently looking for a friendly, positive and hard-working individual to fill an Administrative/Receptionist role within our firm.
Responsibilities Include:
Reviewing and routing incoming mail and fax communications; preparing and processing outgoing mail and faxes; and arranging for specialized mail or messenger services as required.
Phone Reception Functions
Data entry of financial information into excel
Prepare document revisions in Word and PowerPoint
Filing (electronic and paper)
Transcribing and typing legal documents and letters
Greet patients, clients, staff and visitors in a friendly, professional, and courteous manner.
Office cleanliness and organization
Perform clerical and administrative duties
Assist members of staff as required
Other duties as assigned
Qualifications Include:
Outgoing, friendly personality
Capacity to identify, understand, meet and/or exceed the needs and expectations of internal and external clients in a timely manner.
Effective writing and communication skills, strong attention to detail
Exceptional organization skills and an ability to manage multiple time sensitive tasks simultaneously
Able to prioritize and to redefine priorities when necessary
Strong computer skills - Advanced MS Excel and PowerPoint skills
Capacity to work independently, as well as in a team environment
Liaise with all internal and external parties involved with the proceedings, including preparation of correspondence
Residential Conveyancing Legal Assistant/Paralegal FT
We are currently looking for a friendly, positive and hard-working individual to fill a residential conveyancing role within our firm. The successful candidate will be responsible for the preparation of all necessary legal documentation within the Real Estate department, including managing a heavier file load.
The successful candidate will be industrious, conscientious, enthusiastic, and generally good natured. This position receives direction and guidance, although most tasks and objectives are accomplished independently. We offer competitive compensation and holiday entitlement in the first year!
Responsibilities Include:
Conveyancing from start to finish, requiring in depth experience with sale, purchase, refinancing and mortgages, ability to draft documents, registration and or discharge at Land Titles, ability to prioritize a heavy work load, excellent communication skills, ability to train and mentor junior assistants when required.
Supporting large transactions up to the closing, including preparing and managing all documents and media required for closings, flagging documents for signature, preparing letters, managing sub-files and organizing closing books.
Proofreading documents and checking for appropriate formatting, spelling, grammar and clarity.
Preparing, editing, formatting, printing, scanning and revising correspondence, memoranda, reports, forms, labels as well as lengthy and complex documents through dictation, copy typing or other instructions.
Drafting of agreements, contracts and financing documents
Preparing specialized estate planning documents
Qualifications Include:
Legal Assistant diploma.
Minimum 2 years of experience as a Real Estate Legal Assistant/Paralegal
Capacity to identify, understand, meet and/or exceed the needs and expectations of internal and external clients in a timely manner.
Able to produce a high quality and quantity of work product, occasionally under tight timelines
Ability to work effectively with others (e.g., team members, co-workers, supervisors, direct reports, clients, etc.) to achieve mutual goals.
Ability to work effectively within a variety of situations, readily adapting to changes.
Able to prioritize and to redefine priorities when necessary
Manage trust accounting and reporting
Capacity to exchange verbal and written information, ideas and feedback with individuals or groups to enhance and ensure mutual understanding.
Commitment to setting, achieving and/or exceeding individual, team, or firm goals.
Ability to acquire, apply and maintain a body of knowledge related to the field.
Solid computer knowledge (Microsoft Office Suite) and ability to keep up-to-date with changes in technology and latest information. Experience with or ability to quickly learn other software (legal software, client database, etc.).
Responsible for independent file management
Manage trust accounting and reporting
High level of expertise and proficiency in word processing.
